Mark entrances, reception, circulation, meeting rooms, workstations and refreshment areas. Identify wheeled furniture and equipment. Ask facilities staff where dirt, spills and local wear are concentrated; these observations are more useful than choosing one specification for the whole office.

For a new fit-out, record the expected occupancy, furniture layout and any planned changes. For replacement in an occupied office, include access and downtime in the brief from the start.

Compare carpet formats and resilient options

Carpet tiles introduce a modular layout and potential local replacement, subject to the fixing system and spare stock. Broadloom needs roll-width and seam planning. Vinyl products vary in construction and fixing, so check the exact use declaration and relevant performance evidence.

Compare the complete product for chair use, backing, cleaning and repairs. A material family name is not a castor-chair rating or a guarantee of appearance retention.

Check substrate and service access

Ask how the existing floor will be surveyed, which residues need treatment and whether access-floor panels are involved. If services must remain accessible, agree how the covering, joints and fixing approach will work with that requirement.
