Start with an operating brief

Describe what happens on the floor: visitor routes, staff workstations, trolleys, wheeled equipment, cleaning, deliveries and occupied hours. Distinguish reception, circulation, back-of-house and specialist areas. A commercial designation alone does not explain the loading or exposure of each zone.

Include tenancy duration, expected alterations and who maintains the floor. A repair strategy should be decided while material and fixing systems are still being selected.

Compare materials by zone

Carpet tiles, broadloom and resilient floors can enter different shortlists. Compare the exact product’s documented use rather than moving a residential recommendation into a commercial brief.

Request a usable specification pack

  • Product code, construction, dimensions and backing.
  • Declared intended applications and relevant test reports.
  • Approved substrate preparation and installation system.
  • Evidence for relevant acoustic, fire, slip or wheeled-use claims.
  • Cleaning arrangements, replacement stock and warranty responsibility.

Ask the project professional to identify the applicable requirements. This guide does not prescribe a universal rating for every office, shop or hotel.

Plan access and downtime

Agree loading access, delivery sequence, storage, occupied-area protection and the installation programme. Ask when the floor can be walked on, loaded and cleaned under the specified system. Document temporary routes and the sequence for furniture or equipment relocation.

For leased spaces, clarify the handover condition and any future removal obligations with the relevant parties before selecting a fixing method.

Procure on equivalent scope

Compare quantities and installation scope on the same basis. Record removal, preparation, adhesives or connectors, transitions and work outside normal hours separately. Identify provisional items and the approval process for variations.
